Privacy policy

Everyone has rights with regard to how their personal information is handled. During the course of our activities we will collect, store and process personal information about our customers, known as users.  This includes those hiring the halls and those who participate in our monthly prize draw.  All personal data is held securely by the committee members who require using it.  This involves password protected files for electronic information or locked away if in written form.


 The trustees of Bishops Lydeard Village Hall take their responsibility to care for personal data under the General Data Protection Regulation (GDPR) very seriously. We will never hold personal data unnecessarily nor will we sell or pass personal information to third parties unless we are required to do so for legal reasons, such as the police or HMRC.

Our lawful basis for collecting this information is legitimate interest.  We need the information in order to fulfil the request to use our services. We collect this information from the hirer completing the hire agreement or from the application form for the prize draw.

The charity will remain the data controller for the information held. The trustees and volunteers are personally responsible for processing and using personal information in accordance with the Data Protection Act and GDPR.

 What information do we require?

Names, addresses, email addresses and telephone numbers.  

How we use this information:

Names, addresses, email addresses and telephone numbers: So we can communicate with the hirer or prize draw participants.

 How long will we keep this information?

 We keep this personal information securely for a limited time after a hiring or after a person stops taking part in the prize draw.

What we do when we no longer require personal information:

 All personal information that is no longer required is securely destroyed.

Your rights to see the information that we hold about you

Individuals have a right to make a Subject Access Request (SAR) to find out whether the charity holds their personal data, where, what it is used for and to have data corrected if it is wrong, to prevent use which is causing them damage or distress, or to stop marketing information being sent to them. Any SAR must be dealt with within 30 days. Steps must first be taken to confirm the identity of the individual before providing information, requiring both photo identification e.g. passport and confirmation of address e.g. recent utility bill, bank or credit card statements in relation to the processing of personal information.



The new parking policy at the village hall car park

The village hall car park now prohibits any vehicles to be left in the car park between the hours of midnight to 7.30am, unless a valid permit issued by the village hall management committee is displayed.  This restriction came into force on the 1st October.  The car park is checked on random days and times and any vehicle without a permit will be subject to a £100 fine. 

The benefits of the new restriction has already been seen as we no longer have an almost full car park at the start of the day and, more importantly, there are more empty car parking spaces for our evening bookings.


Stage extension

!!!!! The Stage extension is finished and the stage had its first use for the Pantomime (Bluebeard) in February 2017

 However, there are other projects in the pipeline including replacement of the uninsulated roof of the large hall. Monthly Prize Draw

Our thanks to all those who take part.

 Most subscriptions have expired after the February draw - please support us by taking out a new subscription.

The Monthly Prize Draw supports the development of the Village Hall and raised nearly £1000 in 2016 after payment of prizes

Each entry costs £1 per month

5 prizes monthly – each prize is 10% of the entry total for the month

You can enter the Prize Draw at any time – entry forms are available from the Village Hall, the Post Office, the Paper Shop,

or from 01823 430421.

The Prize Draw is licensed under the Gambling Act 2005 by Taunton Deane Borough Council

The Village Hall Committee’s aim is to enhance and improve the Village Hall  thus making it a more user friendly and versatile facility for the village.


This aim started with the resurfacing of the car park and continues with the new Small Hall and the replacement of Play Park equipment as described above. The Village Hall Management Committee is now looking for grants for the next phase of development which will be an extension of the Mount St. end of the Large Hall to accommodate a permanent stage.

The Village Hall Management Committee would welcome new members who would like to help in the running of this important village facility. Why not come along to our AGM (date to be advised) to find out more and to give us suggestions on events or activities you would like to see provided.


As the hall development programme continues so the workload involved in keeping it running increases. There are many tasks involved in running the Village Hall, such as -:

·     Maintenance of the hall and grounds.

·      Fund raising planning and helping at events

· Improvement planning and applying for grants
